A4 vs US Letter: what actually differs, and how to print across them

A4 (210×297 mm) is 6 mm narrower and 18 mm taller than Letter (215.9×279.4 mm). Cross-printing works fine if you pick the right scaling option — and quietly destroys layouts if you pick the wrong one.

Half the world's printables are made for the other half's paper. Print a Letter worksheet on A4 at actual size and the printer slices about 3 mm off each side; let auto-fit handle it and rulers, grids, and cut-out templates shrink out of spec.

Formula and concept

Two numbers cover everything: Letter is 5.9 mm wider and 17.6 mm shorter than A4. So Letter-on-A4 risks side cutoffs, and A4-on-Letter risks bottom cutoffs. That is also why documents designed for both regions keep at least 12 mm margins.

The three scaling options in a print dialog behave very differently. "Actual size" honors dimensions and crops whatever overflows. "Shrink to printable area" only scales down — Letter onto A4 lands around 97%, which slightly shrinks grids but is usually acceptable. "Fit to page" may scale either way and is the least predictable. For ordinary worksheets, shrink-to-printable-area is almost always the right pick.

One class of content is the exception: rulers, protractors, handwriting grids, and cut-out templates are size-critical. A 97% scale ruins them. Those must print at actual size, with content that was designed to fit inside the overlap zone of both papers.

Step by step

  1. Check the file's native size first: the PDF viewer's document properties or print preview shows 8.5×11 in (Letter) or 210×297 mm (A4).
  2. Ordinary worksheets: choose "Shrink to printable area" (or "Fit") and select A4 or Letter as your actual paper.
  3. Size-critical sheets (grids, templates, rulers): choose "Actual size", then verify with a physical ruler after printing.
  4. For double-sided printing, choose long-edge binding so the back side is not upside down.
